Overflow Answering Service · Busy Lines
Overflow answering service for when every line is busy
Your team answers the calls it can. When every line is taken, nobody picks up in time or the queue gets too long, Sono answers the rest in your company's name. It books the job, takes a proper message and passes urgent calls back to a person.
An overflow answering service picks up the calls your own team can't answer during business hours. A call overflows when every line is busy, nobody answers within a set number of rings, or the queue is full. Sono is an AI overflow answering service: it takes those calls on the first ring, completes the routine ones and hands the rest back to your team.
Call overflow
What is call overflow?
Call overflow is any inbound call that arrives while the people meant to answer it can't. Zendesk's support documentation defines an overflow call as one that cannot currently be taken by any agent. Your phone system decides when a call has overflowed. These are the usual triggers, and what Sono does with each one.
| Trigger | What your phone system sees | What Sono does |
|---|---|---|
| Every line busy | The noon rush or a Monday morning: all extensions are on a call, so the next caller would get a busy signal. | Answers on the first ring instead of the busy tone, and can take several calls at the same time. |
| No answer in time | The phone rings out because the person is on a job site, in a meeting or with a customer at the desk. | Picks up after the number of rings you choose, so your team still gets the first chance to answer. |
| Queue too long | A call queue reaches its maximum wait time or its maximum number of waiting callers. | Takes the caller out of the queue and handles the request, so they are not left listening to hold music. |
| Short-staffed day | Sick days, vacations and training mornings, when fewer people are logged in than the call volume needs. | Covers the gap without a temp or a rota change. You switch it on for the day and off again. |
Overflow is different from after hours coverage, which answers when the office is closed. Sono does both from one setup, described on the after hours answering service page.

Setup
How do you set up overflow call forwarding?
You keep your number and your phone system. Sono gives you a number to forward to, and you tell your phone system to send only the overflow there. Where that setting lives depends on the kind of line you have.
| Your line | Where the overflow setting lives | Example |
|---|---|---|
| Business mobile | Conditional call forwarding: forward when busy, when unanswered and when unreachable. Set it in the phone's call settings or with your carrier's star code. | On Verizon, *71 plus the number forwards only the calls you don't answer. |
| Cloud phone system | The call queue or ring group settings: a maximum wait time or ring count, then a fallback destination. Point that fallback at Sono's number. | RingCentral queues can overflow to up to three groups. |
| Contact center software | An overflow number for calls no agent can take, often with separate numbers for inside and outside business hours. | Zendesk lets the overflow number be an external support organization. |
| Office PBX | The busy and no-answer destination of the hunt group or the main extension. | Your phone provider can usually change it in one call. |

On the call
What does an overflow call sound like?
The caller should not feel they reached a backup. Sono opens in your company's name, explains why it is answering, and finishes the task on the call.
Sample overflow script (phone first, WhatsApp second)
Sono: "Thanks for calling [Business]. The team is with other customers right now, but I can help you straight away. What can I do for you?"
Caller: "I need to move my appointment on Friday."
Sono: "No problem. Can I have your name? I see you at 9:00 on Friday. We have Monday at 13:00 or Tuesday at 8:30. Which works better?"
Caller: "Tuesday, please."
Sono: "Done, Tuesday at 8:30. I'm sending the confirmation to your WhatsApp now. Is there anything else?"
If the caller had asked for a specific person, or the call matched one of your urgent call types, Sono would have transferred it. The first free colleague would get it with a one-line summary. The wording and the rules are yours to set.
How much does an overflow answering service cost?
Sono is priced per minute of conversation, from €0.30 to €0.40 per minute for a fully managed deployment, and you only pay for the overflow calls it actually takes. A business that sends 60 overflow calls a month averaging 3 minutes each uses 180 minutes, which is €54 to €72 at that rate.
Human answering services usually sell monthly plans with a minute allowance. Ruby's smallest receptionist plan, for example, is $250 a month for 50 minutes (Ruby pricing, checked October 27, 2026). Hiring for the peak is the other route. The median US receptionist wage was $18.27 an hour in May 2025, according to the Bureau of Labor Statistics, and a hire is paid for the quiet hours too.

When is overflow coverage not enough?
If your team misses more calls than it answers, overflow is the wrong frame. Let the AI take the first ring on every call and pass the conversations that need a person to your team. That setup is the AI receptionist. If most missed calls come in the evening and on weekends, start with after hours coverage instead. Many businesses run all three from the same Sono setup and change the split as their call volume moves.
FAQ
Overflow answering service
questions
It is a service that answers the calls your own team can't take during business hours, because every line is busy, the phone rings out or the queue is full. Traditional services use human agents who take messages. Sono uses an AI voice agent that also books appointments, answers routine questions and transfers urgent calls back to your team.
An overflow call center is an outsourced team that takes the calls your in-house agents can't, usually billed per agent hour or per seat. It suits large contact centers with predictable peaks. Smaller teams often get the same coverage from an AI overflow answering service without training outside agents.
